Round robin booking that keeps reps honest

Distribute booked calls across the team fairly, keep ownership consistent from booking to close, and stop the "whose lead is this" argument forever.

  1. 1

    Connect every rep’s calendar first

Each team member syncs their personal Google or Outlook calendar under their user profile. Round robin only respects real availability when it can see it.

  2. 2

    Create the round robin calendar

Calendars, then Create Calendar, choose Round Robin. Add the team members who take these calls.

  3. 3

    Pick the distribution logic

Optimize for equal distribution when fairness matters most, or for availability when speed-to-meeting matters most. Equal distribution is the default that prevents resentment.

  4. 4

    Keep sticky ownership

Enable assigning the contact to the booked user so the same rep owns the lead across reschedules and follow-up. Reassignment chaos kills accountability.

  5. 5

    Set per-rep limits

Max meetings per day per rep prevents one person’s Tuesday from becoming nine back-to-back calls while a colleague has none.

  6. 6

    Test with three bookings

Book three test slots and confirm they rotate across reps, land on the right personal calendars, and assign contact ownership correctly.

Do it with Claude

Ask Claude for this week’s bookings per rep through the MCP calendar reads; uneven counts surface configuration drift before the team notices.

Watch out for

  • Reps without synced calendars getting double-booked over personal events.
  • Reassigning contacts after booking, which breaks reminder merge fields and accountability.
